Job Title: Team Lead / Assistant Manager – Operations

Position Overview 

We are seeking a proactive and detail-oriented Assistant Manager – Operations to support the day-to-day functioning of the operations team. This role will play a key part in financial tracking and reporting, software and asset tracking, ticketing systems, vendor lifecycle management, and data-driven decision-making. The ideal candidate will have a strong analytical mindset, hands-on experience with Power BI and Excel, and working knowledge of AI tools like Microsoft Copilot, Claude, and Monday.com to enhance productivity, automate workflows, and lead AI adoption across operational processes.

Key Responsibilities 

  1. Financial Operations Support 

  • Track and report financial metrics (Revenue, Cost, Margin) across organizational levels. 

  • Support invoice generation, dispatch, and reconciliation processes. 

  • Collaborate with finance teams for accurate billing and revenue tracking. 

  • Use AI tools (e.g., Copilot) to automate financial summaries and insights. 

  • Proactively manage and update cost data with business stakeholders. 

2. Reporting & Analysis 

  • Prepare and maintain operational and financial reports. 

  • Design and develop interactive Power BI dashboards to visualize KPIs and operational metrics. 

  • Analyze trends and provide insights to support business decisions. 

  • Ensure timely delivery of reports with high accuracy. 

  • Ensure accuracy and relevance of data in reports. 

  • Leverage AI tools like Claude for summarizing data and generating insights. 

3. Software & Asset Management 

  • Maintain records of software licenses and IT assets. 

  • Coordinate with IT for renewals, upgrades, and compliance checks. 

  • Support troubleshooting and inventory audits. 

  • Analyze usage and recommend optimal usage of resources.  

4. Ticketing System Oversight 

  • Monitor the operations ticketing system to ensure timely resolution of requests. 

  • Prioritize tickets based on severity and SLA commitments. 

  • Identify recurring issues and suggest process improvements. 

5. Vendor Management  

  • Shortlist and evaluate vendors based on business needs and compliance standards. 

  • Manage end-to-end vendor onboarding including documentation, system setup, and coordination with internal stakeholders. 

  • Oversee the Purchase Order (PO) lifecycle from creation to Accounts Payable (AP) closure. 

  • Coordinate vendor offboarding, ensuring proper closure of contracts and system access. 

  • Maintain vendor performance records and support periodic reviews. 

  • Use AI tools to streamline vendor evaluation and performance tracking. 

6. Team Collaboration 

  • Work closely with the Manager / Director of Operations and other team members to ensure smooth execution of operational tasks. 

  • Provide support during audits, month-end, and quarter-end activities. 

  • Promote a data-driven culture by encouraging use of Power BI and AI tools across the team. 

  • Lead initiatives to integrate AI tools (e.g., Copilot, Claude) into daily operations for enhanced decision-making and automation. 

  • Use Monday.com for project tracking, task management, and cross-functional collaboration. 

Job requirements

  • Bachelor’s degree in Business, Finance, Operations, or related field. 

  • 3–5 years of experience in operations, reporting, or vendor management roles. 

  • Hands-on experience with Power BI dashboard design and data modeling. 

  • Proficiency in Excel, including advanced formulas and pivot tables. 

  • Working knowledge of AI productivity tools (e.g., Copilot, Claude) and Monday.com. 

  • Experience with ERP systems, ticketing platforms (ServiceNow, Jira), and procurement tools (Ariba, Coupa).
